South East Scotland Scouts takes the issue of privacy very seriously and is committed to protecting and respecting our users’ privacy online.

South East Scotland Scouts collects personal data in order to carry out its business. As a membership organisation we hold data on members and also staff and others, such as customers and donors.

We take the issue of privacy very seriously and are committed to protecting and respecting your privacy in compliance with data protection law. This includes when you use our online services and this privacy statement should also be read alongside our website terms and conditions.

The only circumstances in which we will provide any of your personal data to a third party for non commercial purposes are those contained in this Privacy Policy.

Membership Data

We have security measures in place to protect our customer database. Access to this database is restricted internally. However, it remains each Member’s responsibility:

  • to keep their password secret
  • to protect against unauthorised access to your personal details
  • to log off from the www.sesscouts.org.uk service when not using it; and
  • to ensure against use by anyone else of the www.sesscouts.org.uk Service through the machine that Member uses while they are “logged on” to the www.sesscouts.org.uk service
  • to search and obtain only the data specifically required and allowed for relating to their role.

Due to our safeguarding responsibilities, we are legally required to retain certain records relating to all our members indefinitely. We need to make members aware of this when they register with us as should you request at a later stage that we remove all your data, we will not be able to comply with this request.

South East Scotland Scouts will usually ask for your name, email address and postcode. Sometimes we might ask for your Scout membership number, Group and/or District location and your current appointment.

There may be occasions when we ask for more details to meet the needs of a particular requirement/event. We usually also capture your IP address at the time you register.

We may share data supplied by you (or collected about you) with other parts of South East Scotland Scouts such as Districts, South East Scotland Scouts Activity Centres or South East Scotland Scouts event organisers.

We do not store credit card details nor do we share your details with any third parties. There may be circumstances when we need to share your details with Scouts Scotland Headquaters or Scout National Headquarters.

All personal information and details held on and processed by computers situated in the United Kingdom.

We may be required to communicate the personal data we hold on a member to a third party if required by law, e.g. regulation or statute or by order of a court.

Cookies are small text files that are placed on your computer by websites that you visit. They are widely used in order to make websites work, or work more efficiently, as well as to provide information to the owners of the site.

Our website www.sesscouts.org.uk or other publications may include advertising for other businesses as part of our operation.  We may use, and provide to third parties, your contact details but only if you have given explicit consent for us to do so.

We will, as part of our normal operation, communicate information to members which is relevant to their role in Scouting.

In addition, our website sends out emails with information to our members. However, members can decide which emails they wish to receive as they register.

We may amend this policy at any time in response to your feedback, new or altered systems and procedures, Internet best practices, Scottish, UK and European law.
