At the end of February, myself and  Martin Elliot, our Regional Commissioner, went to Gilwell Park along with Transformation Leads from the 9 other Counties/Regions who will be adopting the changes to our Volunteer Experience ahead of the rest of the UK over the coming months. It was a real treat to partner with many of the UK Scout Team leading the 4 changes to hear how plans are progressing.

Like any Scout weekend, it always feels like it lasts a week rather than a couple of days. I mean this in a good way of course, it was great to be able to immerse ourselves in the project ahead of us without other distractions. I came away, reminded of the importance of making the changes, reassured that we have a new digital tool on the way that is fit for purpose and motivated to take on the challenge of leading the changes in South East Scotland throughout 2023 so that we are ready to switch over in November.

UPDATED Timeline

We are on schedule to move to our new digital system(Digital support | Scouts) in November 2023. Some changes like the new appointments process (A warmer welcome | Scouts) and improved adult training programme (More engaging learning | Scouts) are dependent on the new digital system so won’t happen until November. 

Other changes including the new teams based approach to volunteering (Simplifying volunteering | Scouts), and the move from Executive Committees to Trustee Boards will start to happen throughout the next 8 months. Please see below for an overview of when the changes start to happen throughout this year. 

How does this affect you?

For most volunteer roles in our Region there will be very little change to the way they volunteer, but hopefully a much-improved volunteer experience. If you are involved in a few specialist roles like Leader training or the adult Appointment Process there is a risk that you might feel that your job is going to be made redundant! I’m anxious to stress that this really couldn’t be further from the truth. Volunteers in these roles will be just as important and valued as before, it’s just that the way you contribute might look slightly different. The changes ahead create the opportunity to channel your skillset in a way that is going to have more impact and help the Region offer skills for life for more young people, and indeed have the satisfaction of supporting a growing number of adult volunteers. I’m looking forward to working with you over the coming months to help with this transition along with Martin or your DC.

Help with the new structure

We will be working closely with Districts in the coming month or two to mould the new volunteering structure into something that works for your District. Once this has been done we will be encouraging and supporting Groups to adapt to the new teams-based approach.

What can I do now?

There is no harm in reminding everyone again to make a point of checking that their Compass records are up to date, and make sure you have your own unique email address on Compass as this will be needed to access the new digital system. Please encourage others who you know don’t access Compass to do so too. 

Also, keep an eye out for some short videos that Martin and I have just recorded which aim to explain a bit more detail about the changes coming with a bit of background as to why the changes are needed and the opportunities they present. And of course, a wealth of information, tools and support as part of our Change Plan to make you feel supported and excited about the change.

Validation of Completed Modules: Action Required

As you are probably aware, South East Scotland Region is an Early Adopter with regard to the Transformation of the Volunteer Experience.

As part of this, our membership data currently on Compass, including the training members have completed and which has been validated, will transfer over to a new Digital System later this year.

However, training which has been completed but is unvalidated will not be migrated onto the new system.

Therefore, if you have unvalidated training, it is very important that you take action before the end of the year otherwise you may need to re-do some modules post the Transition to the new system.

Module 01 - Essential Information *

You’ll learn about our history and the fundamentals of Scouts, get an overview of how we keep people safe, and how we make sure everyone is welcome.

You’ll also learn about our training scheme, our structure and the support available to you.

REQUIRED ACTION BY END AUGUST 2024: If you have completed the modules marked with *, but not had them validated, please send the Certificate generated at the end of the module to your Training Adviser or Line Manager and ask them to validate the training on Compass.

If you have completed either version of Tools for the Role, please send the certificate to your Training Adviser and discuss with them what you will do / have done to meet the validation requirements.

The Personal Learning Plan for Leaders, Assistant Leaders, Managers and Supporters can be done in discussion with a Training Adviser – reach out to them to arrange a meeting to discuss.

This comprises Modules 5,7,8,9,11,12a,12b,13, 14, 15, 16, 17, 18, 19 plus any other additional modules you have completed.

REQUIRED ACTION BY END AUGUST 2024 : If you have completed these modules, but not had them validated, please engage your Training Adviser or Line Manager and work with them to have your training validated and ask them to update Compass.

Alternatively, for Modules 5,7,8,9,11,12a,12b,13,14,15,16,17, 18 and 19, you can go into this online portal and submit your validation evidence, and a member of the Regional Team will review this and confirm validation.

Mandatory Ongoing Learning

There is a requirement to complete the Safety, Safeguarding and First Aid Modules (for some roles) within the first five months of joining as a volunteer and then every three years.  Please check Compass to see when your mandatory learning expires and, if necessary, renew any that have expired or will expire soon. For Safety and Safeguarding simply work through the online learning then send the certificate to your Training Adviser or Line Manager and ask them to validate the training on Compass.

Resources to Support Improving the Volunteer Experience

Thanks to all of our adult volunteers who took part in one of 3 Regional Webinars aimed at updating District and Group Lead Volunteers, District/Group Trustee Board Chairs and Group Transformation Champions on the changes that we can focus our energy on progressing with now, in advance of the new Digital System going live later in 2024.

The changes we should be moving forward with in our Scout Groups are:

  1. Embedding our Volunteering Culture at all levels
  2. Introducing new team structures and title changes at all levels
  3. Move to Trustee Boards at District and Group levels
  4. Improve our current District Appointments Panels (this will be progressed by the District Teams)

For those who were unable to attend the webinars, or anyone who wants to be up to speed with what you can be working on in your group to improve the experience for all our volunteers we have provided links to the following documents to support you.

Watch out for the above items on the agenda of your next Group Leader meeting, and if they are not on the agenda, suggest that they are.
